Privacy Policy

Who this covers

This policy covers accounts on EZ Invoice: invoices, estimates, expenses, clients, time entries, company details, and the connections you turn on (payments, cloud folders, and accounting). It does not cover the privacy practices of Stripe, Square, PayPal, Google, Microsoft, Box, Intuit QuickBooks Online, Xero, or other services you connect yourself.

What we collect

• Account: email address, password (stored by our auth provider, not in plain text), and optional linked emails that sign in to the same account.
• Business records you enter: companies, clients, invoices, estimates, expenses, time entries, logos, and related notes.
• Receipt files you upload for Smart Upload. We run optical character recognition on our servers to suggest expense fields. You review and edit before saving.
• Settings: payment-method connection status, cloud and accounting nicknames, and similar preferences.
• Tokens needed to act for you: OAuth tokens for cloud folders and accounting, and processor credentials you save so clients can pay. We do not put those secrets in the JSON export.
• Technical logs from hosting and auth (for example sign-in time, IP, and error traces) for security and reliability.

How we use it

• Provide the product: save your records, generate PDFs, send confirmation email, and keep you signed in.
• Do what you ask: upload a file to your Drive/OneDrive/Box folder, push a paid invoice or expense to QuickBooks Online or Xero, or start a checkout with your Stripe, Square, or PayPal account.
• Protect the service: prevent abuse, debug failures, and keep accounts isolated from each other.
• Respond to support mail you send to admin@getezinvoice.com.

We do not sell your data. We do not run ads on EZ Invoice.

Who else sees it

We use vendors to host and operate the product. Today that includes Supabase (database, login, and receipt file storage), Vercel (the app), and Resend (transactional email through our auth SMTP). They process data only to provide those services.

If you connect a third-party account, that provider receives the data required for the action you take (for example an invoice you push to QuickBooks, or a payment a client makes through Stripe). Their terms and privacy policies apply to that copy.

We may disclose information if required by law, to protect Wise River, LLC or users from fraud or security threats, or in a merger or sale of the business (you would still be able to export or delete your account).

Cookies and sessions

We use session cookies so you stay signed in. We do not use third-party advertising cookies.

Export and deletion

In Settings → Account you can download a JSON file of invoices, estimates, expenses, clients, time entries, and company details. Payment tokens and other secrets are omitted.

You can delete your account in the same place by typing DELETE. That wipes your product data and login. Copies may remain for a short time in backups, or longer if we must keep them for law or dispute. Data you already pushed to QuickBooks, Xero, a cloud folder, or a payment processor stays with that provider until you remove it there.

Retention

We keep account data until you delete the account, or until we close the service. Hosting backups may outlast a deletion by a limited window. Confirmation emails exist in your inbox and in our email provider’s logs for their normal retention.

Children

EZ Invoice is a business invoicing tool. It is not for children under 13, and we do not knowingly collect their information.

Changes

If this policy changes in a way that matters, we will update the date at the top of this page. Continued use after that date means you accept the updated policy.
